Terms of use

What PROVA is

PROVA is a web platform that brings a construction team’s working tools — quantity takeoff and bills of quantities, schedules, a price library and estimates, tender management, contract and payment tracking, document control — into one place. It is a support tool: it does not replace your procurement process, professional advice or statutory obligations, and it does not guarantee any commercial outcome.

Accounts and eligibility

You must be at least 18 and, where you act for a business, authorised to bind it. You are responsible for everything done under your account and for keeping your sign-in details secure. Tell us promptly if you believe your account has been compromised.

You agree to

  • Provide information that is accurate and that you are entitled to share
  • Use PROVA only for lawful purposes and in line with these terms
  • Keep your account credentials secure and not share them
  • Not attempt to access other organisations’ data, probe or disrupt the service, or reverse-engineer it

Your content and our software

You keep ownership of everything you upload or enter — drawings, bills, prices, schedules, documents. You grant us only the licence needed to store, process and display it to you and to the people you share it with. PROVA’s software, design and documentation remain ours. Where a feature contributes anonymised statistics to a shared benchmark, no organisation name, project name or document is ever disclosed, and you can opt out in Settings.

We commit to

  • Keep your organisation’s data private to the people you grant access to
  • Never sell your data to any third party
  • Delete your account and its data on request
  • Tell you about material changes to the service or these terms

Limitation of liability

The service is provided “as is” and “as available”. To the extent permitted by law we exclude implied warranties and are not liable for indirect or consequential loss, loss of profit, or loss arising from decisions made on the basis of figures in the platform; our total liability for any claim is limited to the fees you paid us in the twelve months before the claim. Nothing in these terms limits rights that cannot be excluded under the consumer or privacy law that applies to you.

Governing law

These terms are governed by the laws of the jurisdiction in which the operator of PROVA is registered, and disputes are subject to the courts there, except where the mandatory law of your country of residence gives you the right to bring a claim locally — in which case that right is unaffected.

Changes to these terms

We may update these terms as the service evolves. We will post the new version here with its date and, for material changes, notify account holders by email at least 14 days before they take effect. Continuing to use PROVA after that date means you accept the updated terms.

Privacy policy

Data we collect

  • Account: your name, email address and, for an organisation account, the business identifier and address you provide
  • Work data: bills of quantities, drawings, schedules, unit rates, contracts and documents — entered or uploaded by you
  • Usage: pages visited and actions taken, collected in aggregate to improve the product
  • Technical: IP address, browser and device type, kept in server logs for security and troubleshooting

We use data to

  • Operate, secure and improve PROVA
  • Send account-related notifications you have not switched off (no marketing without consent)
  • Provide technical support when you ask for it
  • Build anonymised, aggregated benchmarks that never identify an organisation or a project

Who processes your data

PROVA runs on established infrastructure providers acting under contract as our processors:

  • Supabase — database, authentication and file storage
  • Vercel — application hosting and content delivery
  • Resend — transactional email (notifications, sign-in codes)
  • PostHog and Google Analytics — product usage statistics, without personal profiles
  • AI providers (Google, OpenAI) — only for features you trigger, and only the content needed for that request

How long we keep it

Your work data is kept for as long as your account is active. When you delete your account, or ask us to, we delete it within 30 days, except for records we must keep to meet a legal obligation and for anonymised statistics that can no longer identify you. Backups age out on a rolling 30-day cycle.

International transfers

Our providers may store or process data in regions other than your own. Where they do, the transfer is covered by the provider’s standard contractual safeguards, and we choose providers whose security practices are independently certified.

Your rights

  • Access, correct and export your data directly in the app
  • Ask us to delete your account and all associated data
  • Object to, or ask us to restrict, processing that is not needed to run the service
  • Disable analytics cookies through your browser settings
  • Complain to the privacy regulator in your country if you believe we have not respected these rights
